The challenge: the channel clients actually use
For a firm that builds partnerships with fund founders across public and private markets, relationships are the product. Those relationships increasingly live on WhatsApp — the fastest way to reach a manager in New York, a prospective founder in London, or an investor between meetings.
That creates a problem familiar to every regulated firm. WhatsApp is where the business conversation happens, but it sits outside the systems compliance teams can see. Under FCA and SEC record-keeping expectations, an unrecorded business conversation is a gap in the audit trail — and regulators on both sides of the Atlantic have made clear that “we asked staff not to use it” is not a control.
The obvious fixes all carry a cost. Banning WhatsApp pushes conversations further into the shadows. Issuing separate work numbers means clients have to remember which one to use — and they won’t. Third-party wrapper apps require every user to download, learn and remember to open something new, which turns a compliance question into a daily adoption battle.
Stable needed the record without the friction.
Why DeepView
Stable evaluated the market for a communications archiving solution. One capability separated DeepView from the field:
“We chose DeepView because of its ability to use WhatsApp natively, which none of the other providers could offer.”
Yudi Singh, Stable Asset Management
Native capture is the technical difference that drives the commercial one. DeepView’s patented ChatGuard solution links directly to WhatsApp — employees keep the same number, download nothing, and use the app exactly as they always have. There is no parallel client to open, no separate contact card for clients to store, no behaviour change to enforce.
For a lean investment team, that mattered on three fronts:
- Client experience is untouched. Counterparties message the number they already have. They never know a compliance layer exists.
- Adoption is not a project. Onboarding is a QR code scan, not a rollout programme with training, chasing and exception reporting.
- The record is complete. All chats are captured automatically once set up — including historic conversations and any new chats or groups created afterwards. Messages set to disappear in the WhatsApp interface are still retained as a secure, encrypted record for oversight purposes.
Stable also had a choice of how far the net should reach. ChatGuard supports three configurations, Corporate (everything recorded), BYOD (everything recorded except chats the user deselects), and Personal (the user selects which chats are captured), allowing the firm to align monitoring scope with its own policy and with staff privacy expectations, rather than accepting a one-size-fits-all setting.
Implementation: fast, and quietly done
Archiving projects have a reputation for being painful. This one wasn’t.
“The implementation was seamless and the team is efficient and great to work with.”
Yudi Singh, Stable Asset Management
Because nothing is installed on the device, there is no software distribution to coordinate, no MDM dependency, and no device-by-device troubleshooting. Users scan a code and are live. The compliance team gets a single portal with keyword search, and the ability to filter by date or by user, so retrieving a conversation for an internal review or a regulatory request is a matter of minutes rather than a data-gathering exercise.
The platform is built to sit inside an existing compliance stack rather than compete with it. ChatGuard data can be pushed directly into third-party repositories such as Global Relay, and a REST API is available for firms that want to pull records into their own systems, so WhatsApp becomes one more line in a single central archive, not another silo.
The outcome
Stable now operates with its most-used client channel fully captured, archived and searchable, with no change to how the team communicates and no change to how clients reach them. Chat data is encrypted at rest and in transit, hosted with Tier-1 providers, and held to the recording and security standards set by regulators including the FCA, SEC, FINRA and MiFID.
“We couldn’t recommend DeepView more highly.”
